Meet #4 - WAT @ HW - PLEASE READ

Please review all information for tomorrow! PLEASE NOTE: if we have as significant rain delay we will have a make up meet on SATURDAY MORNING :). PLEASE DOWNLOAD THE SWIMTOPIA APP AND HAVE IT SIGNED IN AND SET TO ALERTS AND NOTIFICATIONS. This is what I use to communicate during a weather delay!
Pool Location:
Hanarry West Club, 527 Emily Drive, Lilburn, GA 30047
Parking
Please park on the pool side of the street – there will be signs indicating this or look for which side of the street everyone else has parked on. Please be respectful of neighbors and do not block driveways, walk through yards or leave trash behind.
Visiting Team Area
Our pool deck opens for the meet at 4:45 p.m. As you enter the pool, our visiting team area is in front of you -- to the right of the pool. You can view the meet layout in the attachment below. All spectators should bring folding chairs to sit on. Walkway space should be left on the side of the pool and down the middle of the pool deck with plenty of room for timers, judges, swimmers, and walking space on the turn end.
Heat Sheets & Results
There will be no paper heat sheets for sale at the meet. But computer volunteers will post results on top of the HW, by the entrance to the pool area, as they are available.
Volunteers
First shift Timers will meet at 5:40 p.m.outside the pool gate (in the parking lot so everyone can hear what is being said). First and second shift Stroke and Turn Officials will also meet outside the pool gate at 5:40 p.m. We will have a second shift timers meeting 15 minutes before the 2nd volunteer shift begins, in the parking lot. There will be announcements made to remind volunteers.
Our bullpen and staging volunteers have a meeting in the staging area at 5:30 p.m. Visiting team staging volunteers are encouraged to join this meeting.
We plan to switch to the 2nd volunteer shift halfway through the meet. Based on the heat sheet; that will be approximately 8:25pm. Our computer volunteers will be set up in the pavilion (between the bathrooms and concession stand). The visiting team’s computer volunteer should bring their computer (with charger) to check times on. We try to save as much paper as possible, so we won’t be printing out times for your volunteer to check.
Concessions
Like most teams, the Hanarry West Concession Stand is the team’s primary fundraiser for the season. We appreciate you dining with us and supporting our team. We accept cash and Venmo. This week’s menu: Pulled Pork Sandwich, Grilled Burger & hot dogs, veggie burger, chicken salad croissant sandwich, pimento cheese croissant sandwich, baked ziti, baked potatoes, nachos, chili, pasta salad, fruit, chips, dirt cake, strawberry pound cake, additional desserts and more! And a variety of drinks.
Meet Etiquette
We ask that the teams be respectful of the visitor’s area and dispose of all trash at the conclusion of the meet. Due to the volume of families in the pool deck and to ensure swimmers can hear the starter instructions, please do not play any music, movies, etc. from your mobile devices or use noise makers. The pool area is a no smoking or vaping, and glass free facility.
Inclement Weather
During inclement weather, all swimmers and families are required to clear the pool deck and return to their vehicles to safely wait out the weather until further notification via a Swimtopia alert. If the meet is postponed due to weather, our makeup day is Saturday morning.
Picture Day on Friday
We will have picture day in place of the stroke clinic this week. Swimmers/families who want individual/family shots need to be ready to go at 9 AM. We will wrap up individual shots by 9:50 to take the team picture by 10 AM. All swimmers must wear this year’s team shirt and their swim suit.
Ribbons:
We will do ribbons pick up on Fun Friday and will run it one week behind, as to make it easier for our volunteers to manage it all! Please note: we will only do participation ribbons for 10 & Under swimmers starting this meet. We want our older swimmers to aim for place and time breakers ribbons each week! We have a great problem of swimmers out-pacing our supply of improvement ribbons so we will have those once we are back in stock!
Tips & Tricks for Parents:
- SHARPIE! It would be best to write your swimmer’s events, heat & lane number on their arm prior to arriving. Please see the image below as an example.
- FOR OUR LITTLE SWIMMERS, we recommend writing their full name, age, and WAT on their shoulder so that volunteers can easily place them where they need to be. Our littles get nervous, and we do not want them to get lost
- Swimtopia App: The heat sheet and your child's events are available in the app. If you wish to get live results, reminders for events, and other premium features, the app does allow you to upgrade. However, this is not necessary, and having the heat sheet is plenty enough
- Extras! Please bring extras of everything for your swimmers! Goggles, towels, swim caps - you never know when something will break!
